Can You Print a Shipping Label on Regular Paper with a Label Printer?

In cross-border e-commerce and daily shipping, many people, in order to save on consumables or when consumables are exhausted, often come up with an idea: Can I just cut regular paper into the right size and stuff it inside to print a shipping label?

Absolutely not. If you cut regular A4 paper or copy paper and stuff it into label printers like MakeID, Brother, etc., not only will you be unable to print any handwriting (it comes out as a blank piece of paper), but it is also highly likely to cause printer paper jams, errors, or even permanently burn out the expensive printhead.

Why can't you use regular paper to replace label printing paper for this "grafting" trick?

First of all, the label printer's own "hard requirements" for paper

The core working principle of label printers of brands like MakeID, Brother, Dymo, etc., is worlds apart from our ordinary home laser or inkjet printers.

Limitations of thermal/thermal transfer principles (a regular paper cannot develop color)

The vast majority of these label printers are thermal (Direct Thermal) or thermal transfer (Thermal Transfer) printers. They have no ink cartridges, no toner, and no ink inside. They rely on the high-temperature heating of the printhead to "burn out" the handwriting.

Regular paper is just pure plant fiber, with no special chemical coating on the surface. No matter how high the temperature of the printer is, regular paper will absolutely never turn black, and it can only come out as a blank piece of paper. It must use dedicated thermal paper coated with a thermal chemical layer on the surface or be used in conjunction with a ribbon.

Lack of machine recognition and positioning marks (will cause paper jams/errors)

Professional label paper (rolls or label tapes) has special "Black Marks", gaps (Gap), or built-in chips on the back or edges. The sensors inside the printer rely on these marks to accurately identify "how long a label is" and "where to start cutting the paper."

A regular paper is just a whole piece of blank space. The printer sensor cannot recognize the boundary, which will cause the machine to spit out paper crazily, report errors crazily, or cause serious paper jams.

A regular paper is rough and easily wears out the delicate printhead

Thermal printheads are extremely precise and expensive. The surface of dedicated label paper is extremely smooth with low friction. Regular paper, however, is very rough on a microscopic level and easily drops paper scraps. If you directly "dry grind" with regular paper, the paper scraps will clog the heating points, or even directly wear down and burn out the printhead.

Secondly, the specific function of shipping labels vs the fatal disadvantages of regular paper

The shipping label acts as a "passport" in the logistics chain, while the physical properties of regular paper are simply incompetent for high-intensity logistics transportation.

Core functions of shipping labels

  • High-precision barcode scanning: It must be ensured that barcodes and QR codes are absolutely clear and non-reflective so machines can perform fast, automatic sorting.
  • Strong weather resistance and self-adhesive bonding: It must be firmly attached to the package and able to withstand sunshine, rain, friction, and hot and cold temperature differences during transportation.

3 major defects of regular paper in shipping labels

Smudging when meeting water (no water resistance)

If regular paper is used with a home printer, the ink dissolves as soon as it meets water; and if it is forcibly used on a label machine (assuming it could develop color), it also lacks the oil-proof and waterproof characteristics of professional thermal paper. Once it encounters rain or dampness, the tracking number and barcode will smudge instantly, causing the package to become a "headless item."

Extremely easy to tear and wear out

Regular paper has poor tensile strength. Under the high-speed friction and squeezing of the express conveyor belt, it is easily scratched up and torn, resulting in the loss of crucial logistics information.

No adhesive backing, extremely cumbersome operation

Regular paper has no stickiness. If you use transparent tape to wrap and fix it, it is not only time-consuming and laborious, but the wrinkles and severe reflections generated on the tape surface will directly cause the automatic sorting machines in the logistics center and the scanners of couriers to be unable to read the barcode.

So, if you are really in a hurry and need an emergency fix, what can you use?

If you currently have a package that urgently needs to be sent out, and the dedicated consumables of the label printer happen to be used up, do not mess with the label printer. You can adopt the following safer and more effective emergency plans:

"Regular A4 paper + home printer" solution

Use an ordinary home inkjet or laser printer to print the shipping label on A4 paper. Then use a cutting tool to cut it out, and use a large amount of transparent tape to firmly paste it flat on the cardboard box. (Note: The tape must be pasted flat, and try to avoid the area directly above the barcode to prevent reflections from making it unscannable.

Use A4 self-adhesive label paper

If you have that kind of whole-sheet A4 self-adhesive copy paper at home, you can print it with a home printer, then cut it out, directly tear open the back, and stick it on the package. This is much safer and more beautiful than wrapping it with tape.

Go to a nearby convenience store, print shop, or ask a courier for help

Now, many residential Cainiao stations, SF Express outlets, or convenience stores provide self-service printing services. You can save the PDF or image of the label to your phone, go directly to the outlet, and print it out using their professional face sheet printers. This is usually the most secure and highly efficient method.
